As Frédéric explained in his post last month, I started using CoWorkingPlace a year ago, as EASI integrated Appligen within its organisation.
I have to admit I was not directly 100% convinced : “CoWorkingPlace” or working together around tasks, files, customers, sharing all the related information with your colleagues without forgetting something and all this in a relaxed way, was what was said...
“We will see!”, I tought scepticly, “I meet my colleagues every day to discuss and agree about the way we will handle things”. Sometimes we missed an agreement and not everybody always knew exactly what to do. Also some information was hard to find (or lost) but that was easy to solve by keeping small notes and multiple checklists. At the end of the day we only had to verify that all these notes were thicked. Peace of cake, no ?
Using CoWorkingPlace for a few weeks, the piles of papers on my desk together with the notes and checklists all over the place quickly reduced and disappeared. The oneliner “Paperless Office” suddenly became a reality! Moreover, the number of messages in my mailbox decreased to nearly zero.
Every incoming mail is assigned to an “Activity”, which collects all the actions around a task or an event, or becomes trash immediately. The outgoing mails are created out of the “Activity” they belong to, and are classified the moment they are sent. The status and all the actions around a task, a file, a customer are kept together and shared among my colleagues.
Today CoWorkingPlace notifies me when I have to do something, all the related information including mail history is available at a fingertip. And asking the opinion or a contribution to a colleague is also managed by CoWorkingPlace. In team we are building a success story, actually many parallel stories a day. Every day again. And all this without losing or forgetting something!
What an improvement compared to my office environment some months ago! At the end of the day, I return home peacefully, preparing some renovations of my house. And guess who’s helping me?
