E-invoicing: 9 months later

Nine months after the start of the e-invoicing part of Adfinity, I thought it was the right time to make a first roundup and share some tips.

Our launch was quite an adventure. You can read our previous blogpost I wrote about this launch if you want.

  • Some customers fiercely were against e-invoicing as they were convinced there was no immediate advantage without the right software & procedures installed
  • Some customers improved their internal administration

Tips for companies that want to work with e-invoicing

  • Make sure at the customers end that the spam filter allows the incoming e-invoice to come through
  • Keep track of changes to your database when customers want to change the e-mail addresses to which you send your electronic invoices
  • Keep track of outgoing invoices (e-mails): make a separate outgoing e-mail box in which everything is stored
  • Keep track of all bounced sent e-mails: you need to easily retrieve if a company did receive the invoice or not.
  • Convince your customer to use a central e-mail box for reception of the invoices (invoice@...)! You’ll have to send less duplicates afterwards.

Meanwhile all engaged customers have kept to the e-invoicing method, even some disbelievers. We handle 90 % via e-invoicing.
Customer questions are handled on average 3 weeks faster than before. In those cases, this means that payment arrives sooner at EASI and customers have a much more accurate view on correct ICT costs within the same month.

There are still some managers who directly want to receive the invoices before arrival at the accounting department. Needless to say we have to send a duplicate every once and again….

What about incoming payments

We notice a considerate improvement in payment delay when customers use a central e-mail address. Our challenge for the coming weeks: convince them all to use a central e-mail address and for a very small group of customers to finally accept e-invoice – it makes it all so much easier.
